Terms and Conditions


‘you’, ‘your’, ‘consumer(s)’ and ‘volunteer(s)’ means all person(s) named at registration( including any changes or additions at a later date).

‘we’, ‘us’ and ‘our’ means ‘Volunteer to Change’.

‘placement(s)’ refers to the volunteer opportunities we advertise.



The following Terms and Conditions, together with the information on our website will give you a better idea of what to expect from Volunteer to Change and from your placement in Ghana. The Terms and Conditions will also highlight which party is responsible for aspects of your volunteering trip and what to do if something goes wrong and above all, help to keep you safe whilst in Ghana.

Please read all of the Terms and Conditions carefully as they set out our respective rights and obligations. Since our Terms and Conditions are published on our website, by registering with us, we are entitled to assume that you have had the opportunity to read and indeed, have read, these Terms and Condituions and agree to them.

Volunteer to Change may change these Terms and Conditions at any time by posting changes online. Please review these Terms and Conditions regularly to ensure that you are aware of any changes. Your continued registration and/or use of our services after any change is posted, means that you agree to the changes and agree to be legally bound by these Terms and Conditions.

What does Volunteer to Change provide?

  • Volunteer to Change offer to individuals and organisations the opportunity to volunteer in Ghana.
  • By registering with us and paying our fee we-
  •       Advise you on whether Ghana is suitable for you;
  •       Provide you with all of the information that you will need to book your trip;
  •       Remind you of all the items that you will need to make your trip enjoyable;
  •       Provide you with a placement on a Volunteer to Change Project and monitor you throughout;
  •       Arrange your accommodation in our Volunteer House;
  •       Arrange for Airport collection and drop-off;

What Volunteer to Change will not provide:

  • Volunteer to Change is NOT a package holiday operator or provider;
  • Air Travel; volunteers are to arrange their own flights to Ghana. We suggest that you seek information on cheap flights on the internet.
  • Travel Insurance; volunteers should arrange this themselves when booking flights.

Change or Cancellation Policy

In compliance with the ‘Consumer Protection( Distance Selling) Regulation 2000’

  • Our website and these Terms and Conditions, provide our consumers with clear information on the service offered, any/all goods sold or on offer, any/all delivery arrangements and any/all payments that are to be made to Volunteer to Change.
  • Consumers have a seven day ‘cooling off’ period:
  •                       The ‘cooling off’ period is not applicable if volunteer(s) have arrived at their placement within seven days of registration;
  •                       All cancellations must be made in writing within seven days of registration;
  •                       Cancellations made by telephone or email will not be accepted;
  •                       All cancellations made after the seven day ‘cooling off’ period are non-refundable. This includes but is not limited to,
  •                      cancellations due to sickness, lack of personal funds, voluntary or involuntary change of itinerary, pregnancy, death of a
  •                      family member.
  •                      If Volunteer to Change receives a notice of cancellation, and that notice complies with our Terms and Conditions, 100% of
  •                      Registration fee will be refunded.
  • All refunds will be paid using the same payment system the consumer used to originally pay Volunteer to Change the Registration fee( ie. if the consumer paid with Paypal, the refund will also be through Paypal).

Volunteer to Change respectfully reminds you that you are about to volunteer in a Third World Country.

Please be aware of and appreciate that this type of travel requires flexibility; you should plan for and allow for alternatives.

You accept that working hours, accommodation, services and placements offered may be subject to alteration or cancellation( sometimes without prior notice). Reasons for this can include: strikes, political disputes, climate and other unpredictable or unforseen circumstances.

Prices and Placement Details

Prices and placement details quoted on our website are correct as of 4th May 2013 but are subject to review.

As in all countries costs increase due to such things as exchange rates, inflation and local price increases to cover basic living costs. These increases are outside of the control of Volunteer to Change.

Volunteers agree to accept any of these increase in prices.

Whilst we endeavour to provide a good standard of accommodation for our volunteers, please be aware that standards are of a much lower quality than volunteers will be used to in the developed world.

Health and Safety standards in Ghana are much lower than in the developed world and it is therefor up to the individual volunteer to carry out their own ‘Risk Assessment’ before volunteering for a placement.

Volunteer to Change cannot be held responsible for any illness, injury or loss of property whilst volunteering in Ghana.


Volunteer to Change reserves the right to refuse an application and/or registration from volunteers or prospective vlounteers.

Volunteer to Change must be advised of any medical conditions or disability upon registration.

Volunteer to Change reserves the right to refuse the application of a volunteer if the volunteer refuses to undergo a Criminal Records Bureau Check or the check reveals convictions which are not acceptable for a Volunteer to Change representative in Ghana.

Termination of a Placement

Volunteer to Change or their Co-ordinators may terminate a placement at any time and/or accommodation if the volunteer behaves in such a manner as to bring the reputation of Volunteer to Change into disrepute, or damages any property willfully which belongs to Volunteer to Change, other volunteers or is the property of the placements or communities in which Volunteer to Change works.

If a placement/accommodation is terminated, no refund shall be payable to the volunteer.

Volunteer to Change will not accept any liability for any expenses, costs or losses of any nature arising as a direct result of the termination of a placement/accommodation( including any return or onward travel expenses).

A volunteer may end a placement/accommodation at any time.

No refund will be payable;

Volunteer to Change will not accept any liability for any expenses, costs or losses of any nature arising as a direct result of your ending of a placement or stay in volunteer accommodation( including any return or onward travel expenses).

Acceptance of Risk

The nature of volunteering in developing countries is adventurous but can involve a certain amount of risk.

  • Health services are very basic or lacking;
  • Safety standards of local accommodation and transport will not meet European standards;
  • It is up to volunteers to keep families and friends back home informed and up to date;
  • Volunteer to Change accepts no responsibility for excursions or activities arranged through local, national or global agents or tour operators.
  • Volunteers accept and acknowledge that they may witness situations which they may find disturbing;
  • Volunteer to Change advises volunteers not to get into personnal relationships whilst abroad, but if you do, keep in mind-
  •                  Local and family customs, rules and laws;
  •                  Religious customs, rules and laws;
  •                  Health concerns, sexual or other;
  •                  Your placement in Ghana is only temporary;

Minor Emergencies

Volunteers must make sure that they have adequate travel insurance;

If you are involved in an emergency, crime or become ill, it is the volunteers responsibility to act, although Volunteer to Change Co-ordinators will be able to offer help and advice if requested but accept no liability whatsoever.

Volunteer to Change accepts no liability for claims of theft from accommodation, or luggage during transit. Lockable boxes are provided to secure belongins in the volunteer house, it is up to the individual volunteer to use this.

Factors outside of Volunteer to Changes’ Control (Force majeure)

Volunteer to Change cannot be held liable and compensation and refunds will not be paid for any change or cancellation caused by:

War, or threat of war, insurrection, riots, strikes, civil action, decisions by Governments or governing authority, natural disastor, bad weather, technical or maintenance problems with transport, changes of schedules or operational decisions over transport, changes of schedules or operational decisions of overseas institution directors or similar circumstances beyond our control.

For the purpose of this contract, we define the above as Force Majeure.

Foreign and Commonwealth Office ( FCO) Travel Advisories

If the FCO ( http://www.fco.gov.uk) advises against all or non essential travel to Ghana-

  • You will be entitled to withdraw from your placement;
  • Following such advice from the FCO, Volunteer to Change suggest all volunteers contact the British Embassy in Ghana as soon as possible;
  • Volunteer to Change may decide to cancel placements or withdraw any further placements;
  • Volunteer to Change are not liable for any expenses, costs, losses or compensation as a result of any cancellations or withdrawals that you may have  incurred or incur following such advice from the FCO.

Authority at Placements

  • On all matters of safety to you or people around you, the decision of the Volunteer to Change Co-ordinator is final;
  • Volunteers agree to abide by the authority of the Volunteer to Change Co-ordinator in all matters.

Local Laws and Customs

Volunteers must, at all times, strictly adhere to the laws, customs, foreign exchange, drug and alcohol regulations in their host country.

Travel Documents

Volunteers must be in possession of:

  • A valid Passport
  • Visa
  • Permits and Certificates including vaccination certificates
  • All volunteers must pass a CRB check
  • Insurance policies

Any advice provided by Volunteer to Change regarding visas, vaccinations, climate, clothing, special equipment etc. is provided at our own discretion and on a good will basis. We cannot accept any liability for any errors or omissions to the information provided.

Volunteer to Change cannot be held liable if a volunteer is refused entry to Ghana:

  • A volunteer is very likely to be refused entry if he/she does not have the correct documentation.
  • Volunteer to Change does not accept any liability for any expenses, costs or losses of any nature whatsoever that you may have incurred or incur as a result of being refused entry in to any country, including Ghana ( including any return or onward travel expenses).

Problems or Complaints

Whilst visiting Ghana, if you have any problems or complaints about your placement or accommodation, please speak to your Volunteer to Change Co-ordinator. In most cases the matter will be able to be dealt with quickly and efficiently.

If your Volunteer to Change Co-ordinator cannot deal with your problem or complaint, Volunteer to Change has limited advocacy powers. However, please note:

  • We are dealing with a developing country so a delay of a day or two is not uncommon.
  • It is not our country so we cannot enforce our own ideals.
  • All advice provided by Volunteer to Change is purely on a good will basis.
  • As a private volunteer, you are entitled to leave at any time.

Volunteer to Change cannot accept liability for any expenses, costs, losses or compensation of any nature whatsoever that you may have incurred, incur or request as a result of leaving a placement early due to unresolved issues or problems.


  • As defined in the ‘Package Travel, Package Holidays and Package Tours Regulations 1992 ( the ‘Regulations’), Volunteer to Change  is not a tour or package holiday operator. Volunteer to Change does not sell or offer for sale any ‘packages’ or act as an ‘organiser’ within the meaning of the already stated Regulations and therefor the ‘Package Travel, Package Holidays and Package Tours Regulations 1992’ do NOT apply to the services we provide.
  • Volunteer to Change has no control over and cannot accept any liability over the acts, services or behaviour, be it written, verbal or physical, by any private citizen, the Government or any of its agencies based in Ghana.
  • Volunteer to Change cannot accept liability or any responsibility for any expenses, costs, losses or compensation of any nature whatsoever that you may have incurred, incur or request as a result of any act or omissions of any volunteer and whether those acts or omissions are verbal, written or physical.
  • Volunteer to Change’s maximum liability to you, if we are found to have been at fault is limited to the Registration fee which you paid to us at the time of Registration.
  • Volunteer to Change does not exclude or limit any liability for death or personnal injury which arises as a result of our negligence.

It is agreed as part of this contract that English Law and no other shall apply to any agreement between a volunteer and Volunteer to Change and to any dispute, claim or other matter arising, and shall be dealt with in the courts of England and Wales.

Please be aware that Registration Fees will only be valid for a period of 24 months; registration will need to be made again outside of this time factor.

Repeat volunteers will receive a discount on their Registration fee but do need to register for every year they volunteer.
